How about less downtime, an easy-to-manage IT budget, a break on your overhead, and the means to have an entire IT department in your small or mid-sized business? Using Managed Services for your IT is simply more cost effective.

Managed Services offers your company round-the-clock monitoring and remediation so that issues are detected and corrected before they become problems. It also offers a single and simple point-of-contact for any related needs that may arise. Whether your need is for a help desk, for system administration, or even to find root causes for the problems that may exist; a managed IT service can be a boon for business.

Using an IT Managed Services company is a low-cost proactive approach. You will pay an easy to budget flat monthly fee instead of spending large amounts for surprise repairs and accompanied downtime. Also, you won't be paying an hourly wage, plus expenses, plus benefits.
Managed Services can also help you out with installation of networking and management as well as security for your network and your IP telephony. The bottom line is this - you can hire as many people as you need to give you the service that your company has to have, and the costs will literally go through the roof.

On top of managing your business IT services, your managed services can also offer you software support as well as application installation, incident debriefing and analytical skills, probably lower cost hardware, and the list continues on ad infinitum.
An outsourced IT company gets paid when you have an issue. This does not mean they are managing your services or attempting to prevent problems before they take place. Only a Managed Services IT company will work to prevent your systems from degrading and to find issues before they take place, preventing down time and loss of income for you and your company.

Managed Services IT companies work as if they were part of your team, because they are. They are monitoring systems, outflow, data returns and keeping track of your Internet security as well as your services. The cost? A great deal less than you could expect to pay just one employee per year. Managed IT services are a solution that works. Cost-effective and working to keep you looking good to your customers!

Customer Service is Prime

“I have a great IT service company, but boy is it difficult to get them when we need them.” Does this sound familiar? We hear it all the time.

We think such customer service is appalling. When it comes to computer systems, every minute a business has a problem it’s costing them profit and possibly customers also. Computer service companies must respond to their clients right away.

These days IT services can handle many issues remotely. They typically can take care of client reported issues within a couple hours, or worst case, within 24 hours. Even better, if the IT service sets-up the client with what’s referred to as Managed Services* then issues are typically caught and remedied by the IT company before they become problems. Of course hardware related issues must be dealt with onsite, so IT services typically get those repairs done within a day or two. If parts must be ordered, as for special or nonstandard parts, then the repair time might be extended to accommodate the lead time for acquiring those parts.

Whatever the case might be, the IT service company should respond right away when contacted. Businesses should expect and demand service within a reasonable timeframe. If there’s a valid reason for a service delay that reason should be explained and coordinated with the client. Typically there are alternatives or workarounds that should be explored and offered to the client.

The bottom line is that if a service company is not responding within reasonable timeframes, similar those described above, they should be fired and another service provider sought. There are plenty of quality IT service companies out there. Check with friends or business acquaintances for referrals.

*With Managed Services a small piece of software is installed on each server and workstation that monitors system health around the clock. If and when an anomaly or fault is detected it is reported immediately to the IT service company. The IT service has remote access to the systems and can remedy the situation usually before the issue is detected by users.

Not just the work, but the programs, the computer, the Internet …. EVERYTHING!!

That scenario is always a possibility. But it doesn’t have to be. Reliability can easily and inexpensively be added to computer systems. The results can be the as good as the user merely notified of a fault when it occurs but they keep on working as if nothing happened, or worst case they can be back to work typically within 30 minutes.

To make computer systems insensitive to faults, redundancy or strategic preventative measures can be added. What’s meant by “redundancy” is that additional copies of certain components can be added so that if one copy of a component fails the other copy automatically takes over. Since the components that fail most often in computers are the power supply and the hard drive, adding redundant copies of those to a computer assures the computer will keep running when one fails.

Preventative measures can be added to protect from other computer system threats. In that way such threats like power outages and malware can be avoided. Failures due to power outages can be prevented by adding battery backup units called uninterruptible power supplies or UPS for short. Malicious software, i.e., viruses and spyware, can damage Windows. Internet security software can shield computers from malware, but in practice are not foolproof. There are additional measures that can assure recovery. They are software tools that prohibit execution of malware or maintain a know-good configuration.

In conclusion, there’s no reason risk loss of productivity due to computer frailties. Instead, add inexpensive reliability features and move forward with conscious confidence.

It is extremely important to create a back up of your files, in case something happens to your computer such as a failed hard drive, a damaging virus, or your home experiences a power outage. External hard drives, DVDs or flash drives can be used; keep this media in a safe place. Online services such as Mozy.com or Windows Live SkyDrive provide free storage. Files are password protected and encrypted for your security and privacy, and can be accessed remotely.

It is important to back up daily if you are updating your files that often. Weekly will suffice if you periodically use your system. Back up documents, financial information, photos, videos and music files.

The process is easy and to alleviate time challenges or forgetfulness, we suggest you get the back up process set up to run automatically. Make sure to set the back up to run during the times you are not working on the system; for example, 1 a.m.

At Total PC, we’ve found that most backup schemes leave data vulnerable because they’re not well planned and maintained. We set up backup systems that are bullet-proof. They’re not expensive. They don’t have to be. They are just well planned.

Antivirus or Internet Security Software:
This software provides protection against viruses and spyware. Remember to allow the software to provide updates to maintain your protection against the latest threats.

Unfortunately no one antivirus software program can protect your system 100%. Virus programmers are out there in abundance and are continually searching for ways to infiltrate.

Total PC can recommend good quality Internet security software, and if and when something does get in, we have special tools and processes that are very effective in annihilating them. It’s important, though, to get help as soon as possible after an infection occurs to keep them from damaging Windows or other software programs on your computer.

Battery Backup System:
If power goes out in your home or office, a battery powered backup system protects your computer and the data on the computer. Best of all, you can continue working through the power outage.

Battery backup systems need to be sized appropriately for the system being protected because purchase prices go up dramatically with battery capacity. Total PC can calculate exactly what’s needed based on the equipment and battery run time needed.

Surge Protectors:
Power strips with built-in surge suppressors are also necessary to protect your computer equipment from power surges that may occur due to power interruptions or heavy power users in your area.

Cleaning:
Dust builds up on screens, air inlets, keyboards, and inside towers. Dust build up on keyboards makes the keys stick causing typing errors and re-typing. Dust build-up inside towers can cause your computer to overheat. It is a good idea to periodically clean the tower to prevent it from overheating. However, you must be careful not to touch anything inside because static electricity from your body can damage the sensitive electronic components. We at Total PC have tools and processes that assure we won’t damage anything. Also, CPU heatsinks many times need to be disassembled to clean them adequately, and we are experts at computer hardware assembly and disassembly.

Ever wonder who writes viruses?

Ever wonder who writes viruses? Most are young men in their teens and early twenties who are learning or have learned programming and get a kick out of writing malicious software. They are probably members of forums dedicated to virus programming and they share ideas.

Virus programmers can be divided into two main categories – the ‘digital vandal’ who does it for fun and the professional malware programmer who does it for commercial gain. The professional programmer is the more dangerous of the two as they are experienced programmers who study the vulnerabilities of operating systems. The viruses they write are used for exploitation. They understand and use the psychology of buying habits, study or search patterns. These professionals are paid by advertisers and organized crime.

Good quality Internet security software is a must to have on all computers. However, when something gets through the security software, and they do, Total PC has special tools and processes that are very effective at annihilating them. It’s important to get at them as soon as possible after an infection occurs to keep them from damaging Windows or other software programs on the computer.

Buying a new computer?

Anyone who’s ever purchased a new computer knows how confusing and overwhelming the process can be. What system is best for you? Should you get a desktop, a laptop or a netbook system? What components should you look for?

It is always a good idea to do thorough research. To get the necessary answers, contact a computer consultant. Hardware review sites are also useful, but make sure the review discusses the various models or features in terms everyone can understand.

At Total PC we love helping business offices, as well as individuals, keep from wasting time when needing to buy new equipment and assure they get the right equipment to fit their needs. We consult on equipment purchases, and we can and will do the procurement for our clients. We then test and ready the computers for installation, and, for replacements, we transfer existing data files.

When it’s time for your next computer purchase, make sure you have all the facts so you know exactly what you’re buying.
